CRM Entities Synchronization: Contacts and Accounts

In Deepser, it is possible to manually synchronize CRM modules (Accounts and Contacts) with Companies and Users, allowing for the creation and automatic alignment of the related entities within the system.

Synchronizing CRM Accounts with Companies

In Deepser, a Company can be created starting from a CRM Account.
This operation also enables the automatic transformation of the data reporting entered in the account into the company model.
Please note that not all fields are synchronized automatically. In particular, custom fields are not mapped natively. To address this, it is possible to define an advanced synchronization procedure, which will be covered in the next section

To synchronize a CRM Account with a Company, go to the section: CRM > Account.

Select the account you want to convert into a Company.

Once the account is selected, on the screen that appears, click on the “Sync Company” button located in the top right.

A confirmation pop-up will appear. By clicking “Yes”, the system will proceed with the creation of the corresponding Company. If the “Cancel” button is clicked, the operation will be aborted.

Once the operation is confirmed, the Company will be created.

Note: If a Company with the same name as the account already exists, it will not be linked to the existing Company. Instead, a new Company associated with the selected CRM Account will be created.

Synchronizing CRM Contacts with Users

As with CRM Accounts, it is possible to create Users starting from a CRM Contact.
This synchronization allows for the creation of a User based on the data contained in the CRM Contact.

To synchronize a CRM Contact with a User, go to the section: CRM > Contact > Contact.

Select the contact you want to convert into a User.

Once the contact is selected, on the screen that appears, click on the “Sync User” button.

A confirmation pop-up will appear. By clicking “Yes”, the system will proceed with the creation of the corresponding User. If the “Cancel” button is clicked, the operation will be aborted.

Once the operation is confirmed, the User will be created.

Note: If a User with the same name as the contact already exists prior to synchronization, it will not be associated with the existing contact. Instead, a new User will be created and associated with the selected CRM Contact.

Lead to Contact Conversion

In addition to the synchronization of CRM Accounts and Contacts, Deepser also allows the conversion of a Lead into a Contact.

To perform the conversion, go to the section: CRM > Contact > Lead

Select the Lead you want to convert.

Once the Lead is selected, on the screen that appears, click on the “Convert to Contact” button.

A pop-up will appear where you will be able to select the Account to associate.

By confirming the operation with the “Yes” button, the Lead will be converted into a Contact, and the selected Company will be set in the Account field.

After the conversion, the Lead will no longer appear in the section CRM > Contact > Lead, but will be available in the section CRM > Contact > Contact.
